Executive Summary

Digital transformation is essential for member-based organizations, but the path forward isn’t always simple. Finding the right solution starts with a strong understanding of the technology hurdles that create the most friction in day-to-day operations. So, we wanted to know:

What specific operational pain points are organizations struggling with most?

Method

To answer this, we randomly selected 65 of Vocalmeet’s introductory meetings from the past 1.5 years. We then:

Reviewed our detailed notes and transcripts

Organized recurring pain points into standardized categories

Mapped each issue to the appropriate category

Ranked those categories by frequency

This whitepaper presents our findings and explores the most common challenges organizations reported with their current systems and workflows. It also aims to offer a practical lens to help organizations plan a more resilient technology foundation for the future ahead.

Key Findings

Frustration with data silos caused by fragmentation: More than 87% (57/65) of organizations reported struggling with fragmented systems, describing their technology stacks as disconnected and inefficient.

Administrative burden and workflow inefficiency: 72% (47/65) of organizations reported that manual processes, workarounds, spreadsheets, and repetitive administrative tasks continue to slow down their teams.

Sensitivity to cost and the need for phased adoption: 60% (39/65) of organizations preferred the phased adoption of solutions. Since pricing remains a major factor, starting with smaller commitments before expanding may be a practical approach.

Additional Findings

Beyond these three main areas, our review uncovered several other recurring themes. From most to least frequently encountered, these include:

Complex membership structures

Learning as revenue and compliance infrastructure

Leadership transitions and organizational readiness

Integration with existing systems

Reporting and analytics gaps

Vendor lock-in and contract timing

Digital experience and growth orientation

Note: This overview is based on aggregated data from a limited set of client meetings and is intended for informational purposes only.

Introduction

Today’s modern technology has created new opportunities to connect and engage. For member-based organizations, there has never been a better time to reach members and provide the support they need.

These opportunities, however, depend on building the right foundation. Here, technology vendors can act as business partners, providing the backbone for core workflows that keep programs running and members engaged.

But as the online world evolves, so do member expectations. In an ideal environment, systems would adapt alongside us every step of the way. In reality, technical frustrations occasionally pop up, challenging organizations to keep up.

That’s why leaders need to understand what’s causing the most friction. The following sections break down the most common technology pain points we encountered, as well as practical ways to resolve them.

The Big Three Technology Struggles Dominating the Conversation

1. Frustration with Data Silos Caused by Fragmentation

In more than 87% (57/65) of our meetings, organizations identified fragmented systems as a major cause of chaotic workflows. Also known as the Silo Effect, this occurs when data is trapped within individual applications, making it inaccessible to other parts of the business (Noble, 2023).

Instead of operating as a single system, data is scattered across disconnected tools, such as separate webinar platforms, e-commerce systems, learning platforms, and member management databases. These “Frankenstein Stacks”, as Noble (2023) puts it, create inefficiencies and long-term risk for organizations.

When isolated tools can’t communicate, routine processes become inefficient and unproductive. As one lead put it, “Our data is everywhere. There’s no single source of truth.” These internal gaps can eventually impact the experience for both members and staff.

For members, logging into different portals to pay dues, register for events, or access education can increase friction and, consequently, the risk of disengagement. Over time, this can erode trust and may even weaken the perceived value of membership.

For staff, manually reconciling information across platforms can reduce productivity and divert focus from strategic goals.

Our Suggestion: Integrated All-In-One Platforms

Integrated all-in-one platforms bring core organizational functions together into a single, connected environment. This allows systems (such as association management systems (AMS), learning management systems (LMS), and event platforms) to share data and workflows.

This two-way integration setup keeps data consistent across two or more applications over time (Gitlin, 2023). In other words, if data is added, removed, or updated in an application, the integrated systems perform the same action.

For example, instead of exporting spreadsheets from an event portal just to update a main database, integrations can automatically sync information. This functionality gives administrators the confidence that every department is working with the exact same data, ultimately reducing operational friction.

Beyond Integration: The Natively All-in-One Platform

While integrated systems are a solid solution to the fragmentation problem, a natively all-in-one platform takes it one step further. Built as a single system that doesn’t rely on integration, operations and workflows naturally connect. Providers can simply toggle built-in features on or off for organizations as their needs change. Outside of linking a tool like Zoom or Microsoft Teams, the core infrastructure remains the same.

Added benefits of natively all-in-one platforms include:

No Broken Connections: Third-party integrations may require maintenance and can sometimes break after updates. Native systems don’t suffer from this.

Cost Savings: Full integration, cross-system maintenance, and development can be expensive, especially if they’re required for every system. Native platforms bypass this type of upkeep.

Less Conflict: Not all systems want to “play nice” with each other. But when they’re native to the platform, they aren’t just behaving: they’re a single system!

Instant Scalability: Adding or removing functionalities is as simple as flipping a switch. Because the foundation is already there, organizations can expand their operations and scale their offerings as needed.

2. Administrative Burden & Workflow Inefficiency

72% (47/65) of organizations we spoke to sought systems that automate and simplify workflows to improve efficiency. Manual tasks still remain a major source of friction for many; repetitive administrative work can take time away from member-focused priorities and may even increase the risk of human error.

Our Solution: Increased Automation

Automation lets your software handle everyday administrative duties, like:

Centralizing data for real-time insights.

Lowering operational bottlenecks by putting routine data entry on autopilot.

Handling higher data and payment volumes.

According to Perez (2023), over 90% of surveyed teams reported that automation increased their productivity, and 85% reported better collaboration. Additionally, nearly 90% trusted automation tools to reduce errors and speed up decision-making.

With the repetitive work out of the way, teams free up their hands to focus on higher-value work that actually drives their organization’s growth.

3. Sensitivity to Cost & Subsequent Need for Phased Adoption

Budget considerations arose in 60% (39/65) of our meetings. While organizations often require modern technology, financial realities remain a major driver in deciding whether to upgrade or wait.

Our Solution: Phased Adoption

Instead of jumping into a massive, all-in launch, organizations can gradually migrate individual systems onto a new platform through an iterative approach. This not only breaks the total cost of migration down into chunks but also allows them to validate their return on investment on a smaller scale before committing further resources.

Additionally, this strategy means that software costs only grow as needs expand. With the right structure, one large expense becomes several smaller ones, leading to a more manageable process and fewer budget constraints that block modernization and optimization.

Part 2: Other Notable Findings

While the “Big Three” dominated our rankings, several other themes surfaced repeatedly. These friction points may have been less prominent, but they still shape daily operations and strategic decisions.

4. Complex Membership Structures

In 49% (32/65) of our meetings, organizations reported that standard software doesn’t meet their structural needs. That’s because memberships don’t always follow a “one-size-fits-all” model. They can span from individual students and professionals to multi-layered corporate partners, each with distinct privileges, pricing tiers, and renewal cycles.

Without the right system, platforms may flatten these differences and force diverse member groups into generic profiles. This removes important context about who the members are and what benefits they should receive.

Our Solution: Multi-Tier Logic

Membership tiers represent different levels of access to benefits, content, or services (Vizor, 2025). With the right platform and configuration, organizations can map real relationships among members, define interconnected account structures, and automate privileges.

For example, an organization could configure its memberships so that when a parent organization purchases a corporate membership, the system automatically recognizes that individuals belonging to the organization should receive the appropriate member discounts. This preserves each member’s unique context without constant administrative oversight.

5. Learning as Revenue & Compliance Infrastructure

In almost 34% (22/65) of our meetings, organizations needed learning systems capable of managing continuing education (CE), certification, compliance tracking, and monetized education.

CE initiatives contribute significantly to organizational performance through enhanced productivity, innovation, and skill acquisition (Noniashvili & Kobalia, 2025). What’s more, these initiatives are closely tied to revenue and member value.

Our Solution: An eCommerce-Enabled, Compliance-Ready LMS

A learning management system (LMS) can help organizations manage the full education process in one place, from registration and attendance tracking to completion records, credit assignment, and certificate delivery.

With a capable LMS, organizations can connect the following in one place:

Learning content

Events and webinars

E-commerce and payments

Continuing education credit tracking

Certificates and completion records

Reporting

Member education records

Organizations can reduce manual work, meet compliance requirements, and turn educational programs into a scalable source of non-dues revenue.

6. Leadership Transitions & Organizational Readiness

We found that a little over 24% (16/65) of the organizations we spoke to reported that leadership transitions can slow or stall major digital initiatives while interim leaders fill the vacancy.

Because technology projects may often require strong backing, organizations tend to delay commitments during these periods. Unfortunately, postponing critical implementations can keep teams stuck in inefficient workflows and delay improvements to the member experience.

Our Solution: A Solid Continuity Plan

A good continuity plan should distribute digital projects across dedicated teams rather than a single executive, so organizations can maintain momentum even when leadership changes. This way, a new leader can step into an active initiative rather than inherit a stalled idea.

Anderson (2025) explains that a solid transition plan can help reduce leadership disruption by giving organizations a clear roadmap. By addressing immediate operational needs and preparing for long-term success, the plan creates a stronger foundation for new leaders to step in, adapt, and make a meaningful impact.

Documentation of goals, requirements, and vendor criteria (along with ongoing communication with technology vendors) provides projects with enough structure to withstand transitions and helps new leaders avoid having to restart research from the beginning.

7. Integration with Existing Systems

In 23% (15/65) of our meetings, organizations wanted to modernize their systems without fully replacing the tools they already use.

For many teams, existing customer relationship management (CRM), finance, payment, or reporting systems are already tied to their daily operations. Even when these tools create friction, organizations may not be ready to abandon them all at once. Instead, they want new platforms that can connect with their current systems and enable a gradual transition.

Our Solution: Flexible Integration

Flexible integration options can help organizations modernize without forcing an immediate full-system replacement. Application programming interface (API), phased implementation, and integration planning allow teams to connect key systems, reduce duplicate work, and move toward a more central technology environment over time.

See also: Phased Adoption above.

8. Reporting and Analytics Gaps

23% (15/65) of organizations highlighted a strong desire for better reporting and analytics, which can turn everyday administrative data into actionable insight. Tracking member behavior (like event attendance, course completion, and retention trends) can help organizations understand what truly drives value.

The University of Pennsylvania (2022) further explains that using data effectively helps organizations update services to match evolving needs, refine marketing efforts, and improve member support. This adaptability can make the difference between a growing network and a stagnant one.

Without this visibility, organizations lack a clear view of overall organizational health and may struggle to answer basic questions about enrollment, retention, and loyalty.

Our Solution: Centralized Analytics and Custom Reporting

To improve analytics capabilities, organizations need a way to connect and interpret their data. A centralized analytics framework or all-in-one platform can bring information into a single visual report, making it easier to track member behavior across programs and touchpoints.

For example, metrics like engagement rates and click-throughs show what works, while trend analysis helps organizations re-engage at-risk members and shape future courses, events, and resources.

To take it one step further, organizations can look for platforms with custom and AI-enabled reporting. These tools can automate data aggregation, generate tailored insights, and help flag unusual patterns. In addition, teams can also ask specific questions and create reports based on their immediate needs, making it easier to understand the data and identify practical next steps.

9. Vendor Lock-In & Contract Timing

15% (10/65) of the organizations we met with said existing vendor contracts delayed their ability to modernize.

Even when teams recognize the need for better systems, multi-year contracts can limit when they can make a change. This can slow down decision-making, extend buying timelines, and even create a gap between interest and implementation.

Our Solution: Track Renewal Cycles Strategically

Tracking contract timelines early allows organizations to plan modernization efforts before renewal deadlines. With the right roadmap, teams can compare options, prepare budgets, and avoid being forced into another contract cycle with systems that no longer meet their needs. This is also another area in which the Phased Adoption method can be useful.

As a bonus, choosing an all-in-one platform eliminates much of the work involved in tracking multiple vendors, contracts, and renewal timelines. This gives teams fewer administrative details to manage and more time to focus on member needs.

10. Digital Experience & Growth Orientation

Finally, in almost 5% (3/65) of our meetings, organizations discussed modernization in terms of digital growth and expanded revenue opportunities.

These conversations went beyond fixing operational pain points to explore how a stronger digital experience could improve the entire member experience, from engagement and monetization to online learning, events, and ultimately long-term growth.

Our Solution: Choose a Platform Built to Evolve

A modern platform should not only solve today’s operational problems but also grow alongside changing member expectations, digital business models, and technology innovations.

As artificial intelligence (AI), automation, analytics, and personalization become more important, organizations need platforms that can adapt without forcing a full rebuild every few years. By choosing a flexible, scalable platform that supports today’s needs while adapting to future innovations, organizations can create a stronger digital experience while keeping their current technology partner and platform.

Conclusion

These findings point to a consistent (if expected) pattern: professional organizations require systems that simplify daily work without limiting their ability to serve members, respond to change, and support growth.

Further, a strong technology foundation can be that solution, helping teams operate with greater confidence while preparing for what comes next.

Switching technology platforms can be a huge decision! Whether your member-based organization has outgrown its current system or you’re ready for more advanced technology, the bottom line is that you want to make the transition as smooth as possible.

While the whole process can feel like a massive project, setting clear expectations can help you move in the right direction. And how do you do that? By asking the right questions!

In this article, we’re looking at five key questions you can ask your old vendor before making the big switch. These questions will help you feel confident in every step of the migration and ensure your organization is on a solid footing for what comes next.

Key Takeaways

Before switching technology platforms, ask your current vendor clear questions. Focus on:

Data format: Confirm how your data will be exported and whether it will work with the new system.

Migration costs: Ask for a written breakdown of fees for extraction, cleanup, mapping, testing, and support.

Timeline: Understand how long migration will take, whether downtime is expected, and what can be moved in phases.

Data ownership and access: Clarify who owns the data, how long you can access it, and how deletion or backups are handled.

Potential issues: Discuss risks early, including missing fields, duplicate records, formatting mismatches, and historical records.

A smoother migration starts before the move. The more you clarify upfront, the easier it’ll be to protect your data, reduce disruption, and set your new platform up for success.

Question 1: How is My Data Formatted?

Naturally, one of the first things you worry about is your data. After all, it’s the backbone of everything digital in your organization. While you may be tempted to focus on where data will live or how it will be transferred, you also don’t want to overlook one of the more critical aspects: its format.

Why? Well, your data’s format usually dictates the compatibility or the capacity for those different datasets to work together (Nutanix, 2025).

Data can come in many formats. From CSVs (comma-separated values) and Excel spreadsheets to JSON (JavaScript Object Notation), understanding these formats can help you set expectations for how your data is structured and whether reformatting may be necessary.

Why Data Format Is Critical During Migration

You might be thinking: Why is this such a big deal? As it turns out, if you don’t properly prepare and format your data, you may end up with gaps, errors, or duplication in the new system (Segner, 2025).

For example, let’s say your organization runs an extensive library of online courses. In this case, you’re dealing with specific file types like SCORM (Sharable Content Object Reference Model), large video files, and slide decks. If your new vendor doesn’t support SCORM packages, interactive course content likely won’t run as expected and may need to be rebuilt or converted.

Separately, you’ll also need to confirm whether learner records (such as course progress, quiz scores, completion dates, certificates, and continuing education credits) can be exported and imported into the new system.

Question 2: Are There Any Data Migration Costs That I Should Be Aware Of?

Depending on how much data you have and its type, additional costs may be necessary. Here are some examples of measures that may require extra expenses:

Data extraction

Reformatting

Expedited migration timelines

Consulting support

Data cleanup

Data mapping

Testing and validation

Custom reports, integrations, or historical record migration

While some organizations can handle parts of the preparation internally, some vendors offer in-house data migration specialists. Especially for complex migrations, these specialists can aid you in planning, carrying out, and validating your migration (Stefanuk, 2023), thereby minimizing data-handling errors that can harm your data integrity and framework.

Because migration fees can vary, it’s important to request a written cost breakdown in advance. Understanding these fees helps you better assess whether the switch is worthwhile and if the long-term benefits outweigh the upfront investment.

Question 3: How Long Will the Data Migration Process Take?

Time is money, and no organization wants to lose valuable time during the migration process! So, you’ll probably want to set your expectations early.

The timeline can depend on a lot of things, including:

Data volume

Complexity

Quality

Transfer method

Integrations

Testing requirements

Data mapping

Vendor responsiveness

Staff availability for review

Historical record requirements

One way to help reduce migration complexity is to review your data in advance. Remove true duplicates, outdated files, or unused content only after confirming what must be retained for compliance, financial reporting, certification history, or member service.

The less unnecessary data you transfer, the more efficient the migration will be! A data migration specialist can be particularly helpful in this case, further saving you time and confusion.

One option you may want to consult your specialist about is a phased migration process, where you start with current or critical records first and then transfer historical records later. This approach can help reduce downtime and can even allow operations to continue with less disruption. A word of warning, though: it will likely require careful planning!

Again, the timeline can vary. But the important thing is not to rush the process. Doing so can increase the risk of errors and create larger problems down the line. You have to be very intentional with each migration step, like clarifying:

If there will be any downtime

How long that downtime will last

How it can best be managed

Here’s a quick tip for the last one: When downtime is unavoidable, you can manage it by running two platforms concurrently during the transition. This usually requires a clear sync plan to ensure records aren’t duplicated or updated in only one system. Just be cautious that, while this can reduce disruption, it may also mean paying for two systems simultaneously. So, consult wisely!

Question 4: Are There Any Data Retention Policies in Place?

Another critical area to understand is your vendor’s data retention and data return policies. Your contract should clarify the following:

Who owns the data

What export rights you have

How long you can access the data after termination

Whether backup copies are retained

How deletion is handled once the contract ends

Some vendors may restrict access soon after termination, while others retain data or backups for a defined period. So, it’s best to be upfront about this matter. Having clarity here allows you to put backup systems in place so you can ensure your data isn’t lost, retained unnecessarily, or handled in ways that don’t align with your expectations.

Question 5: What Challenges Will There Be When Migrating From Your System to the New One?

Challenges can arise during a transition, and their impact can vary. That’s why it’s best to discuss potential setbacks before they happen!

Some common issues you can expect include:

Missing data fields

Formatting mismatches

Duplicate records

Incomplete historical records

Inconsistent member IDs

Broken links to files or certificates

Missing relationships between individuals, organizations, chapters, committees, or groups

To reduce the risk of setbacks, verify how complex data elements will translate to the new system.

Some of these data elements include:

Member profiles

Dues and renewal history

Payment and invoice records

Event registrations and attendance

Continuing education credits

Course completions

Certificates

Committee, chapter, or group records

Communication preferences

Uploaded documents

Reports and analytics

Member types or tiers

Organizational memberships

Access permissions

Subscription or auto-renewal status

Donation records, if relevant

Unsubscribe records

Preparing for potential roadblocks can give your organization a better chance at a seamless transfer so you avoid unnecessary (and unwanted) surprises!

Conclusion

By asking the right questions early on, you can save your organization a whole lot of trouble later. You can reduce risks, avoid unexpected costs, and set clearer expectations for everyone involved. With proper preparation, you can move through the migration with confidence, knowing your data, content, and members are accounted for throughout the transition!

Running a member-based organization means handling a lot of information every day. Between event registrations, engagement metrics, and annual dues, your data (and the upkeep required to manage it!) can quickly pile up.

If all that data is scattered across several third-party platforms, it can quickly become challenging! When this happens, you can run into administrative confusion and disjointed records.

This is where a Single Source of Truth (SSOT) comes in. An SSOT is the operational goal of maintaining one definitive, accessible, and trusted data source for your organization.

In this article, we’ll explore the challenges of scattered data and how an SSOT can be your solution. We’ll also dive into the right technology to look for when implementing the SSOT approach.

Key Takeaways: Implementing a Single Source of Truth (SSOT) for Associations

A Single Source of Truth (SSOT) is a centralized system where all your organization’s data is stored, updated, and accessed consistently.

Without an SSOT, fragmented systems can lead to duplicate records, inconsistent data, and inefficient reporting.

For member-based organizations, this often shows up as manual data reconciliation, unreliable member insights, and disconnected user experiences.

Implementing an SSOT helps reduce manual work, improve data consistency, and support more reliable reporting across events, learning, and membership systems.

An all-in-one platform can act as an SSOT by keeping your data in a single environment, reducing the need for integrations and data syncing across tools.

How Fragmented Systems Create Data Problems

Let’s start with the root of the problem: patching data together from your events, learning, reporting, and member management platforms. Without proper integration, you may end up with scattered data, which not only slows your operations but also leaves more room for error.

For one, when data is spread so thin across platforms, the same information may appear in inconsistent formats and conflicting versions. This was one of the points Queiroz et al. (2024) discussed in their research article, “Data Value and the Search for a Single Source of Truth: What is it and Why Does it Matter?” This research reveals that without a proper SSOT approach, the information your staff relies on for critical decision-making may become outdated, duplicated, or completely untrustworthy.

In this case, you’re already dealing with bad data: any information that compromises decision-making because it is inaccurate, incomplete, invalid or biased (IBM, 2025).

The fallout from bad data creates a ripple effect across your organization’s critical operations. In Brown (2022)’s article, “A Single Source Of Truth: The Holy Grail Of Services Business Operations”, he further explains that the lack of an SSOT can hinder project management by preventing accurate coordination and alignment of resources with projects.

For example, your organization might see a massive spike in new member sign-ups and decide to increase next year’s conference budget. However, your team might later discover that those weren’t new members at all; they were just existing members who accidentally created duplicate profiles when registering for a webinar on your separate events platform!

It’s not just your staff that can run into bad data. Your members feel the fragmentation, too! For instance, a member might update their mailing address in your main member management portal, only to find that your separate event software is still pulling their old information.

Why SSOT Matters for Associations

So, what happens when an organization implements an SSOT approach? The short answer: immediate operational clarity! An SSOT provides a reliable, standardized view of real-time data on both organizational processes and member management.

The key here is consistent data. Having one place for membership, learning, events, and engagement eliminates questions about format, reliability, and timeliness. In addition, centralized data naturally leads to faster, clearer, and (most importantly), more accurate reporting.

For example, let’s say your organization needs a comprehensive engagement report following a massive, multi-day virtual conference. Instead of spending time exporting CSV (Comma-Separated Values) files from different locations and manually reconciling data, your team can simply generate a complete dashboard with just a few clicks. And, because this is all exported from a single source, you ensure the accuracy and reliability of your data.

With a proper SSOT, your organization can reduce these manual workarounds, making it easier to build centralized reports across your systems. That gives your team a more robust foundation for tracking CE credits, membership changes, and session engagement in one reporting environment!

How a Natively All-in-One Platform Supports an SSOT

Of course, implementing an SSOT requires the right technology. After all, the benefits we discussed above are only as strong as the platform powering them. The big question now is: which one? There are many software solutions that let you implement an SSOT approach, but one of the best ones is a natively all-in-one platform!

A natively all-in-one platform (like Vocalmeet’s!) lets your critical information live in a single environment, with tools that naturally speak to each other. That’s because it’s built from the ground up as a single, modular solution that brings all your systems together in one place.

With this kind of platform, you don’t have to worry about double-entry or manual spreadsheet imports. Instead, you save time and energy while avoiding unnecessary errors! Win-win, right?

What’s more, this type of modular platform is also scalable for growing organizations. You can effortlessly start small, say, with just a learning management module, and add member management or event registration later as your needs expand.

Conclusion

Gone are the days of playing data detective. By centralizing your information (with a natively all-in-one platform, of course!), you don’t have to hunt down missing CE credits or patch together messy spreadsheets. With your data perfectly aligned, your team can finally rest easy and trust the numbers right in front of them. SSOT is the centralized approach that’s here to make your organization’s operations easier to manage.

We get it: running a member-based organization is an “all hands on deck” kind of job. With member expectations constantly rising, you may feel pressured to cobble together a new tool or software solution for every demand.

But what if we told you there’s a simpler way? Enter the natively all-in-one platform!

A natively all-in-one platform isn’t just your standard integrated systems; it’s a seamless ecosystem that completely changes how you manage your organization. Think boosting your member engagement, saving your staff countless administrative hours, and setting your organization up for long-term success…but the natively all-in-one way.

But what exactly makes a natively all-in-one platform so different (and amazing)? That’s what we’re diving into today. We’ll explore why going natively all-in-one is the ultimate game-changer for your organization, and how it helps you deliver the frictionless experience your members are looking for!

What Are Integrated Systems?

Integrated platforms (i.e. using different technologies) bring core organizational functions together into a single, connected environment. It’s usually a two-way integration setup that keeps data consistent across two or more applications over time (Gitlin, 2023). In other words, if data is added, removed, or updated in one platform, the integrated systems perform the same action.

For example, instead of exporting spreadsheets from an event portal just to update a main database, integrations can automatically sync information. This functionality gives administrators the confidence that every department is working with the exact same data, ultimately reducing operational friction.

The Hidden Roadblocks of Software Integration

The problem with integrated systems is that each third-party tool you implement only allows a certain level of integration. Mazurkiewicz (2023) explains that while your tools may work well individually, getting them to work together can be a problem! Because each system has its own technology stack, your chances of seamless integration grow thinner as you introduce more third-party tools.

Haggerty (2024) states that poor integration not only wastes time but also increases errors, reduces productivity, and can significantly impact your workflow (and, consequently, your growth)! If your software cannot integrate, you may encounter operational roadblocks that accumulate over time. And when that happens, you start holding your organization back.

The Natively All-In-One Solution: Building a Scalable Ecosystem

A natively all-in-one platform is the exact opposite of the patchwork approach of a simple integrated system. Built from the ground up as a single, modular solution, it brings everything together, including:

Membership management and renewals

Event and conference registration

Learning management, course delivery, and credit tracking

Financials, eCommerce, and reporting

Automated communications and marketing

Member portals, analytics, and community tools

Content and website management

Importantly, because it starts as a single system, all your data is connected! Member profiles, registrations, and course completions link automatically, so there’s no need for double entry, and errors are fewer and farther between.

Additionally, this type of platform, such as Vocalmeet’s native all-in-one platform, can play an important role in scaling, helping organizations expand their reach while maintaining a streamlined and cohesive experience for members and staff. Organizations can start small with only one or two modules (like learning management and assessments), then add more as they grow (like member management and event registration). It’s as easy as flipping a switch!

High-ROI Benefits of a Natively All-In-One Platform

Consolidating into a natively all-in-one platform streamlines how your team operates:

1. Fewer Systems, Lower Costs

Every extra platform in your stack adds setup fees, support contracts, and licensing costs.

You don’t need to pay twice for overlapping features (like a webinar add-on in your learning management system and a separate virtual event tool) when you’re working with a natively all-in-one platform. Plus, having one vendor means one renewal date and one invoice, so you even reduce administrative burden!

2. More Time for Members

Look, your staff are meant to focus on real, meaningful work that drives member value. Natively all-in-one systems help you in the background through automation:

The system handles dues and reminders on a schedule you set.

Continuing Education credits are logged instantly upon course completion, no manual uploads required.

The system does most of the heavy lifting, allowing teams to focus on high-value interactions.

3. Better Solution From the Start

Disconnected systems can be fragile: a single update from a third-party vendor can break your integration and cause, say, your registration page to crash. Ditch all the headaches:

Built-in Unity: With a natively all-in-one platform, member profiles, event data, and courses live in the same house.

Reliability: No fragile bridges between software means no emergency IT fixes. A natively all-in-one platform’s systems don’t have to “play nice” with each other because…well, they already (always) do!

4. A Smoother Experience

Members aren’t so concerned about your backend database as they are about the interface experience, and what’s smoother than a natively all-in-one centralized system?

Single Sign-On (SSO): One login, one password.

Seamless Onboarding: Members can join, pay dues, and register for a conference in a single, seamless session.

Brand Consistency: No jarring visual jumps between your website and your event page.

Bringing these pieces together transforms your technology from an obstacle into an asset. You lower costs, support your team, and deliver the reliable experience your members expect. It’s simply a smarter, more sustainable way to run your organization.

Conclusion

It’s time to stop playing referee to a bunch of mismatched software tools. By making the switch to a natively all-in-one platform, not only are you upgrading your technology stack, but you’re actually reclaiming your team’s time, so you can focus on what truly matters: building a thriving, engaged community that your members are proud to be part of!

When looking into the usual technology pain points that member-based organizations face today, one issue pops up time and time again: fragmented systems. This is the patchwork approach of cobbling together different software tools.

But is a fragmented setup (like a separate learning, membership, and events platform) really that much of a setback? And if so, what’s the real solution? In this article, we are exploring exactly why such disconnected technology can hold your organization back. And, more importantly, we’ll explore how to bring those separate pieces together for a much smoother experience for your members!

What Are Fragmented Systems, and Why Are They a Concern?

When we’re talking about fragmented systems, we’re referring to either systems that operate independently, with no connection to one another, or systems that are integrated but still fail to work cohesively. An integrated system is a setup that keeps data consistent across two or more applications over time (Gitlin, 2023). In other words, when data is added, removed, or updated on one platform, the other connected systems accurately and consistently reflect those changes.

So, are there any drawbacks to this kind of setup? To be clear, multiple systems integrated together are not fundamentally dysfunctional, as they can work at times. However, that’s not to say there aren’t better options (because there usually are!). As your organization grows, your needs evolve and expand alongside it.

You may find yourself introducing new tools and functions to keep pace with your goals, and what once worked just “well enough” can quickly become a limitation! The more your operations scale, the more strain systems face in keeping up.

It’s fine when they all work together, but what if they don’t or they start to malfunction? The tricky part about integrated systems is that each third-party tool you implement only allows a certain level of integration. Mazurkiewicz (2023) explains that while your tools may work well individually, getting them to function together can be a problem! If your software cannot integrate, that’s the time you run into a fragmented systems problem.

4 Common Problems With Fragmented Systems

When disconnected tools pile up without proper integration or if integrations don’t work, you end up with what Noble (2023) calls a “Frankenstein Stack” or the fragmentation problem! Rather than operating as a single, harmonized system, the integrity of your operations and data management is trapped within individual applications. Especially when you run into integration issues, you can expect four “headaches”:

1. Manual Workload Multiplies

Manually copying data when “integrated” platforms start acting up can waste valuable time your team could spend on more exciting, high-value initiatives for your organization. What’s more, errors can sneak in, slowly compromising the integrity of your data and operations.

2. Your Data Gets Trapped in Silos

In disconnected systems, information gets scattered, duplicated, and sometimes even lost! This problem makes it really difficult to get a holistic view of everything going on in your organization. And the scary part? Security risks may increase when member information (especially sensitive one!) is constantly transferred between systems.

3. Members Feel the Friction

If your integrated system doesn’t offer a single sign-on (SSO) experience, members are forced to juggle several different logins and interfaces just to interact with your organization. Asking them to jump through these extra hoops introduces unnecessary friction that hurts engagement and makes them less likely to visit your platform!

4. Hidden Costs and Fragile Technology Drain Resources

Finally, stacking different systems comes with hidden costs, as each platform carries its own licensing, maintenance, and support fees. Furthermore, when a vendor updates their software, those fragile connections may potentially break, causing unexpected downtime and highly costly troubleshooting! And, adding salt to the wound, managing multiple contracts and vendors becomes an administrative headache that drains your budget and slows down your entire operation.

How a Natively All-In-One Platform Solves Fragmentation

Natively all-in-one platforms, such as those provided by Vocalmeet, are the way to go. Built from the ground up as a single, modular solution, it brings everything together. This means that one vendor provides all the modules your organization needs, without integrations! All the core features of a platform are built into the system from the start, rather than added through plugins or third-party tools. Features such as:

Membership management and renewals

Event and conference registration

Learning management, course delivery, and credit tracking

Financials, eCommerce, and reporting

Automated communications and marketing

Member portals, analytics, and community tools

Content and website management

We know what you’re thinking: what’s the difference? Well, because it starts as a single system (in which all your data is connected), member profiles, registrations, and course completions link automatically, so there’s no need for double entry, and errors are fewer and farther between.

Additionally, this type of platform is perfect for scaling! Organizations can start small with only one or two modules (like learning management and assessments), then add more as they grow (like member management and event registration). It’s as easy as flipping a switch!

Combining systems such as your association management system (AMS), membership management system (MMS), and customer relationship management (CRM) software into a single, native platform creates a seamless experience for both your staff and your members.

Conclusion

We’re not here to pressure you if you’re happy with your current integrated systems. But think about it: you may be better off working with a platform that does it all with no extra fuss (and of course, no extra worry). Consider a better approach, one where you actively save money, cut down on tedious admin work, and prevent dreaded technical issues!

If your interest in AI has been stirred, you’re not alone!

Many member-based organizations are eager to explore the technology’s potential, but getting started safely requires a thoughtful and intentional approach.

Now, while specific usage guidelines vary from one organization to another, we come to you today with recommendations to help you build a strong, secure, and practical foundation for integrating AI tools.

1. Define Clear Goals

Know what you’re setting out to solve or improve.

How do you want to use AI in your organization?

What problems can it help you overcome?

2. Build a Shared Understanding

Before taking the plunge, you’ll want to familiarize yourself (and your team) with the basics of AI. Be open and transparent about your goals.

We suggest creating an AI Code of Conduct to guide your team’s adoption and use of AI-enabled tools.

3. Choose the Right Tools

Select platforms that genuinely meet your team’s needs. Don’t be fooled by buzzwords–a lot of companies like to boast about their AI, but you’ll want to take a minute to look into what they actually mean.

This also means reading the legalese in the terms and conditions. Look for answers to questions like:

Who owns the data you feed it?

Who owns the results?

Can you delete your data from the system?

Wherever possible, you will likely want to use the paid version of these tools. Whichever tool you adopt, it should have a solid framework in place for protecting your Personally Identifiable Information (PII), as well as your company information (lparsons, 2025).

Keep in mind: When there’s no cost listed, the price is you. If a tool appears to be free, it may be collecting or using your data as compensation.

4. Start Small

Test new AI tools on low-risk projects before scaling them up. Even with thorough research, there’s always a chance that something is missed, so it’s better to be safe than sorry.

5. Watch for Bias

Stay aware of how datasets influence results and review them carefully. AI is excellent at spotting patterns, but there are often underlying factors that can influence its direction (Coffin, 2024). The more familiar you become with these influences, the easier it is to spot their effects and adjust.

6. Invest in Learning

As AI constantly evolves, so should your team. Empower them to improve and grow as much as possible.

As your team learns more, you can adjust your Code of Conduct to match (lparsons, 2025). AI is evolving quickly, so you want to be aware of how this will affect your rules.

7. Track Performance

Monitor performance, measure real outcomes, and optimize your processes as needed. If you find a tool isn’t working out, that’s ok–it just means you’re one step closer to finding the one that does!

Conclusion

Start small, stay curious, and keep refining your approach as the technology evolves. Using these guidelines, you’re now well on your way—so here’s to a smarter, more empowered AI journey ahead!

Running a member-based organization isn’t for the faint of heart! From juggling memberships and organizing events to handling finances and maintaining engagement, it can be a lot to handle! And, let’s be real: relying on manual processes just makes it even more overwhelming.

That’s where automation comes in, ready to save you time, energy, and money.

It’s a game-changer for organizations of all sizes. Whether you’re managing membership renewals, sending out event invitations, or compiling reports, an automated system can streamline your operations and free up valuable resources.

Today, we’ll be diving into the top five benefits of business automation for your organization. Let’s get started!

1. It Increases Efficiency and Productivity

Let’s raise our hands: how many of us have experienced the joy of manually processing hundreds of membership renewals or event registrations? What about sending out certificates to those who have completed a course?

If your hand is still down, you’re one of the lucky ones. Thankfully, business automation is here to help! Perez (2023) explains that automation reduces the repetitive and monotonous tasks staff have to do by relegating them to software, typically leading to better experiences for customers, reduced error rates, improved compliance, and lower stress for teams.

What’s more, by taking care of repetitive tasks and removing the burden of tedious data entry, an automated platform can give your team more time to put the focus back on providing value and growing your audience.

But how?

Simplifying Membership Renewals

No more chasing down expiring (or expired) memberships! With the right platform, your system will send reminders, process payments, and update records instantly without you having to step in.

Improving Event Administration

From sign-ups to payments to confirmation emails, automation lets you handle your events with ease. With the right system, you can even automate things like webinar attendance certificates!

Sending Email Communications:

A good association management system (AMS) will allow you to set up automated email sequences for welcoming new members, sending event reminders, sharing important updates, and more.

Skip the manual tasks; your time is valuable. The more you automate, the more you can focus on big-picture strategizing, building relationships, and creating value.

2. It Enhances the Member Experience

In this digital age, it’s only natural: people expect convenience. If your organization still relies on slow, outdated technology, members can become frustrated and disengage.

Business automation makes things fast, simple, and intuitive, keeping members happy and involved. And, in our increasingly online world, the thing we lack is the personal touch. By giving your team back their time, you grant them the ability to reach out to members directly. After all, which do you think is more effective at preventing member churn: a mass email reminder of the renewal deadline, or individualized phone calls checking in with those on the brink of lapsing?

If you answered, “both, in combination”–you’re right! Let your system do the notifying, so your team can do the focused outreach.

But how?

Personalizing Communications

Automated systems can track member preferences and behavior, allowing you to send targeted messages that make members feel seen. Plus, engagement scores will let you see who is using your platform frequently vs. who rarely (if ever) interacts. This can be an important indicator of someone about to lapse, so you can use this information to create particularly involved and “human” campaigns.

Offering Self-Service Portals

Members can renew memberships, update their profiles, and access resources anytime, anywhere (without having to play email tag!).

Decreasing Response Times

Automated FAQ email responses ensure members get quick access to answers to many of their questions, giving you time to focus on support requests that need extra attention and improving overall member satisfaction.

When members feel valued and supported, they’re more likely to keep coming back year after year.

3. It Improves Data Management and Insights

Data is gold…if you know how to use it. System automation can help member-based organizations collect, organize, and analyze their data in real-time, providing valuable insights that drive better decision-making. The University of Pennsylvania (2022) affirms this, explaining that organizations can become more proactive in identifying opportunities guided by the validity of data (rather than simple intuition or industry experience).

But how?

Centralizing Your Data

When you use your platform (be it your membership management system, learning management system, or an all-in-one) to collect and store your data, you’re removing risk. Consider: no more scattered spreadsheets or missing files! Automated data collection keeps everything in one secure, accessible place.

Reporting in Real-Time

A good platform can grant you instant insights into membership trends, event attendance, engagement levels, finances, and more. Look for one that offers custom and AI-enabled reports for even deeper analysis!

Predicting Through Patterns

Once you have your data, you’ll want to use it. Your reports will help you identify recurring patterns and forecast future needs, helping you make more informed decisions.

Example:

If your data indicates that younger members are trending less engaged, you can use this as an indicator that you need to add some campaigns, programs, and/or events that cater more to their demographic.

Next, do a little digging: collect some targeted feedback, analyze it, and add recurring suggestions to your roadmap. And, if a request is immediately actionable, don’t wait! Do it now! You’ll soon find your previously at-risk audience is more invested than ever.

Reducing member churn and strengthening loyalty: that’s the power of the automated, data-driven approach!

4. It Saves Cost and Grows Revenue

Let’s talk numbers. Every member-based organization wants to cut costs while increasing impact…and revenue!

By reducing inefficiency while also minimizing human error, automation can lead to significant financial benefits. Take the healthcare sector, for example: intelligent workflow automation enabled one data aggregator to achieve 70% cost savings and automate 73% of document processing, slashing turnaround times from 48 hours to less than a second (Suarez, 2022)!

But how?

Reducing Operational Costs

Less manual work means lower labor costs and fewer mistakes that can lead to financial losses down the line. Plus, you can redirect your organization’s manpower away from tedious data entry and toward larger, more important initiatives. Save money, limit errors, and gain resources!

Providing Membership Autorenewal

Consistency is crucial. An automated platform will allow you to offer autorenewal (subscription-based memberships that refresh every year) without you having to reach out. Renewal notifications, reminders, and receipts can be issued automatically, and payments are processed on time, all of which helps reduce lapses in membership.

Boosting Your Marketing

Reach potential members with targeted campaigns and follow-ups without lifting a finger. Just set your target group, what you want to send, and what triggers the notification (if anything). The system will implement the workflow for you, start to end.

Maintain steady growth without extra effort. Let your automated platform take care of the rest!

5. It Scales With You

Growing your organization is a wonderful thing, but scaling without automation? Now, that’s a recipe for burnout.

As your member base expands, handling everything manually eventually becomes more than difficult: it’s downright impossible! Think of all the spreadsheets you’d need!

Thankfully, automation ensures that your operations can scale smoothly without overwhelming your team.

But how?

Helping You Handle Increased Workloads

Whether you have 100 members or 100,000, automation keeps everything running smoothly. Whether you’re handling memberships, event registration, finances, or more, an automated platform will help you keep things efficient and orderly.

Supporting Multi-Program Expansion

As your organization adds new membership tiers, events, courses, posts, or programs, automation helps you replicate and manage each one efficiently—without having to start from scratch each time.

Combining and Consolidating Your Technology Stack (the Modular All-in-One Option)

If you choose to go with a natively all-in-one platform, all of your systems are in sync from the start: your CRM, AMS, LMS, event registration and webinar platform, member portal, payment gateways, web page builder, marketing tools, and more are always connected and updating in real time.

And, with a modular platform, you can add or remove pieces as you need them; it’s as easy as clicking a button. When everything is built ground-up to work together seamlessly, you can scale without the added complexity.

With the right automation tools, your organization is set up for long-term success, no matter how big it gets.

So…Where Should You Begin?

We’ve laid out all the benefits of automating your workflows, and you may be seeing the beautiful light of optimization. That’s great! But we know what you’re thinking: where do we even begin? The trick to introducing automation to your organization isn’t to overhaul everything overnight. Instead, start small by identifying your biggest pain points.

Sit down with your team, and ask: What manual tasks are eating up the most hours each week? For many organizations, the culprits often come in the form of processing membership renewals, answering repetitive FAQs, or managing event registrations. Pick just one specific bottleneck process to automate; this will allow your team to get the hang of it. Once you secure that first quick win (and breathe a sigh of relief!), you can easily scale your automation efforts from there.

Remember: you just have to tackle things one step at a time. From single workflows to systems to full technology stacks, when you break things down, anything becomes achievable. So, what are you waiting for?

Without an Association Management System (AMS), your organization’s members (and staff!) would have a completely different experience. Imagine: manually tracking each membership–from filling out forms to tracking details in spreadsheets and sending emails one-by-one for each confirmation… Ouch! Unfortunately, this is the present for many member-based organizations (maybe even yours!).

Choosing the right AMS for your organization is crucial. Remember: it’s not just about getting the shiniest new technology–it’s about organization, automation, and enhancement. After all, the right AMS can improve the efficiency (and ease!) of your administrative processes, help you boost revenue (of both the dues and non-dues variety), and increase engagement.

On the other hand, the wrong AMS may result in inefficiencies, wasted resources, and frustration–oh my! Thankfully, you’re not alone. Today, we’ll be covering the right questions to ask when you’re looking for a new AMS. For instance…

1. “What are my organization’s current goals and challenges?”

Before evaluating any platforms, you’ll want to take a moment to assess your organization’s current situation. What do you aim to do? What challenges (“pain points”) are you facing, and what could help you solve them? Make some lists.

For inspiration, you can ask yourself things like…

What administrative tasks do I have that are manual and/or time-consuming? Could they be automated?

Example: tracking memberships, sending expiry notifications

What challenges are my staff and members experiencing? What hinders engagement?

Example: resources are hard to find, navigating the platform is difficult, each system is its own separate ecosystem

What key functions am I looking for?

Example: organizational memberships that oversee individual memberships, coupon codes, automatic membership renewal

How will the AMS align with my organization’s long-term strategic goals?

Example: automated notifications can keep members more informed, automatic membership renewals make it easy for members to keep their standing

More high-level features to consider may include:

A member database with advanced search and segmentation capabilities

Event and conference management tools that include online registrations and virtual event integration

Automated communications, like marketing and notification emails

Detailed reporting and analytics capabilities for data-driven decision-making

Integrated financial management tools that allow for things like invoicing, payment processing, and subscription tracking

Now, you can use what you’ve created to make your own requirements document. While this may sound daunting, it’s actually just another list!

Requirements documents, at their most basic, typically sort features into two groups:

Must-have features: these are do-or-die requirements, functions that will make or break your platform. These are the functions that, if they aren’t included, you will not be able to go further with this platform; these form the foundation of your cake.

Nice-to-have features: requirements that are helpful (or even really exciting!) but won’t sour the whole platform for you if they aren’t included; these are the icing on your cake.

Then, if you want to really delve deep (or indulge in a possible pipe dream!), you can add one more type:

“Flying cupcake” features: these are your maybe-crazy, “perfect world” requirements; these are the sparklers and gold leaf decorating your cake.

While you may wonder why putting more far-fetched requirements on your list would be worthwhile, you may find yourself surprised–a good vendor may suggest viable workarounds to get the result you want. After all, it never hurts to ask!

By clearly outlining your organization’s objectives, challenges, and needs, you can ensure that the AMS you choose is the one that’s right for you!

2. “How well will the AMS integrate with my existing systems?”

An AMS should work seamlessly with your existing software to maintain efficiency and data accuracy. Compatibility is crucial to ensuring that all of your components work harmoniously.

Consider the following:

Does the AMS integrate with your current CRM, financial tools, and email marketing platforms?

How easy is data migration from your existing system to the new AMS?

What API capabilities does the AMS offer for custom integrations?

Can I consolidate multiple systems with it?

Poor integration can lead to inefficient processes, duplicated efforts, and frustration among staff. Choosing an AMS that integrates well with existing systems can prevent these issues and enhance productivity.

But wait! There’s Another Solution!

What if I told you that there’s a way to get an AMS without dealing with the pain of managing integrations? What if there was a one-stop shop for all your system needs?

With an all-in-one solution, you can skip the extra steps with a single unified (but modular) solution. Check out the benefits of using an all-in-one platform HERE!

3. “What’s the cost?”

This is probably the question you’ve been waiting for; after all, some things really do just come down to money.

However, when it comes to picking an AMS, there’s more than just the upfront figure to consider. Yes, the initial cost is important, but what’s even more crucial is calculating long-term expenses (both spent AND saved!).

When it comes to money spent, you’ll want to think about the following:

Pre-implementation costs

Does the licensing act like a subscription?

Is there an upfront price for implementation?

Is maintenance (e.g. keeping integrations and security up to date) included or separate?

Is there a fee for data migration (i.e. moving data from your current platform to your new platform)?

Post-implementation costs

Do you need to pay for training for staff? For members? Is training billed by staff members or by the hour?

What types of customizations are included, and what do you have to pay for?

Is end-user technical support available?

Then, compare the above to what you could potentially save:

Return on investment (ROI) and long-term cost-effectiveness

Are you automating tedious, time-consuming tasks? Remember, time is money–if you’re saving your administrators time, that’s like getting cash back!

An intuitive, streamlined platform can increase engagement and bring in more members–meaning more dues revenue!

Can your AMS integrate into a wider all-in-one platform? By switching to a comprehensive, unified system, you may be able to go from paying lots of vendors to just a single one. All-in-ones don’t just increase efficiency and ease-of-use–they save you money!

When choosing an AMS, you want to create a detailed cost analysis to avoid unexpected expenses. It’s essential to assess what you’re actually getting for your money; while an AMS may appear to cost more than some of its peers, factoring in the potential ripple effect can prove that you’d actually end up saving!

4. “How user-friendly is it?”

A user-friendly AMS can enhance productivity, improve engagement, and ensure smoother adoption by members and staff. If your platform is clunky and frustrating to use, your members won’t want to spend time with your organization. Instead, aim for a clean, seamless experience that will keep your audience coming back for more!

To judge the friendliness of a system, ask yourself the following:

How intuitive is the AMS interface for both administrators and members?

Remember, you want to consider both sides of this story. If the front-end experience of a platform is great, but the back end is not, it’s going to be hard for staff to keep up. Conversely, if the back-end experience is smooth but the front-end is hard to navigate, you’ll find your audience losing interest fast!

What training resources are available to support new users and staff?

Does the platform come with tutorials–and does it even need to? Some designs are so clear that even someone with minimal experience on a computer can engage with ease!

Is the AMS mobile-friendly, allowing members to engage from any device?

These days, it’s all about tablets and smartphones. Don’t make your members pinch-to-zoom on every page–let the desktop view stay on the desktop where it belongs!

Can the platform be customized easily?

This one’s a tricky one. Every organization has different needs, and true customizations can cost a pretty penny. Thankfully, there’s a work-around: find an AMS that’s built to have the look and feel of a customized piece WITHOUT all the programming. What does this mean? Look for platforms built specifically for your type of organization!

Overall, if your AMS is difficult to navigate, it can lead to frustration, inefficiencies, and resistance. Keep your platform simple, sleek, and effective for the best results!

5. “What level of training and support do I get?”

We touched on this above, but it bears repeating; after all, reliable support ensures smooth operations, from implementation to beyond, so evaluating the kinds of customer service provided is essential.

When you’re looking for an AMS, you’ll want to ask about…

Vendor support options, which can include things like 24/7 availability, live chat services, and dedicated account managers

Onboarding programs, training sessions, and knowledge hubs

Software update schedules, maintenance, and inquiry responsiveness

To learn more, ask about the different options for service level agreements (SLAs) and pick the price point that’s right for you. Providing your members (and staff) with dedicated support will ensure that everyone can use your AMS worry-free.

6. “How secure is it?”

Data security and compliance should be amongst your top priorities when choosing an AMS, regardless of your industry. With increasing concerns over data privacy and cyber threats, selecting a secure AMS is vital.

Consider the following:

What encryption, backup, and recovery measures are in place to protect sensitive data?

Does the system maintain compliance with relevant regulations and best practices (e.g. HIPAA)?

What policies exist regarding data ownership, member privacy, and risk management?

Does it offer multi-factor authentication?

Where is the data stored?

Having a secure AMS will protect your members’ sensitive information, build trust, and ensure regulatory compliance. Remember the age-old saying: Safety first!

7. “What are their other clients saying?”

They say the best advertising is word-of-mouth. Thankfully, the internet makes “mouths” a lot more accessible! Testimonials, success stories, case studies, and client lists are now often only a click away.

Reading the experiences of other associations can help you make a more informed decision. So, while you search, consider…

Reading online reviews, testimonials, and case studies

Speaking with current clients to gain firsthand insights

Researching the vendor’s industry reputation and years of experience

Requesting product demos and trials to evaluate real-world usability

Nothing beats real-world information straight from the source!

Conclusion

It’s no secret; choosing the right AMS requires careful evaluation, strategic planning, and thorough research. Thankfully, when you ask the right questions, you can make solid, informed decisions that align with your organization’s goals and needs.

While you search, keep this in mind: an AMS is more than just a software purchase—it’s an investment in the future of your organization!
